Ortus Coaching is responsible for the proper processing of your personal data. We process this data only for the purpose for which it was provided and in accordance with the Dutch Personal Data Protection Act and the Telecommunications Act.
This statement explains what information we collect when you use our website, why we collect it and how we use it to improve your experience.
Ortus Coaching is not responsible for the privacy policies of other sites and sources.
Collecting information
We ask you to provide your information when you sign up for a coaching programme or training, request information, fill in the contact form or use any of our other services. In these cases, we process only the information you provide to us. This may include:
- First and last name
- Email address
- Phone number
- Company name
- Billing address, including street, house number, postal code and city
- Chamber of Commerce number
- IP address
Purpose of processing personal data
The information is collected and stored for the following purposes:
- We use your name and email address to send commercial emails. We do this only with information obtained through sign-ups for a coaching programme or training, or submitted via our contact form.
- After you request our services or place an order, we use your name, email address, phone number, billing address and, where applicable, company details to prepare invoices and, if necessary, contact you. As you have become a customer, we store this information in our CRM system.
- If you fill in the contact form, we need your name and email address to respond to you. Your IP address may be checked to see whether you are a spam bot.
By providing us with your information, you consent to our use of it for the purposes stated above. Some of this information is also necessary to perform the contract if we sell you products or provide you with services. We process your information under Article 8(a) and (b) of the Dutch Personal Data Protection Act (Wbp).
Third parties
We do not share information with third parties, except for web applications we use for our websites. Information is used solely for the purpose of the relevant application.
In some cases, information may be shared internally. Everyone who works for us is required to respect the confidentiality of your information.
Cookies
We may collect information for research to better understand our customers and tailor our products and services accordingly.
Our websites may use “cookies” (text files placed on your computer) to analyse how visitors use the website. Information generated by the cookie about your use of the website may be transferred to secure servers operated by Ortus Coaching & Training or a third party. We use this information to track how visitors use the website, prepare reports on website activity and provide other services.

Retention period
We do not retain your information longer than necessary for the purpose for which it was collected. If you do not want to be on our mailing list, we will delete your personal data from our system within 3 months.
We delete information submitted via the contact form within 1 year of our last correspondence. We retain customer information in our CRM system for at least 7 years, in part to meet our legal obligations. We delete this information within 1 year after those obligations expire.
The above retention period does not apply if we have further legal obligations to retain and/or keep the information available for longer.
Personal information choices
We give all visitors the option to view, change or delete any personal information they have provided to us.
- Changing or unsubscribing from other communications: If you would like to update your information or have it removed from our records, please contact us using the details below.
Rights
You may withdraw your consent to the processing of your information at any time. Withdrawing your consent does not affect the lawfulness of processing based on your consent before it was withdrawn.
You also have the right to access and amend your personal data. If you would like to know what personal data we process about you, you can submit a written access request. If your information is incorrect, incomplete or irrelevant, you can ask us in writing to amend or supplement it.
You also have the right to have your personal data erased, to restrict its processing and to object to its processing. You also have the right to receive your data or have it transferred. You can also submit a written request for these rights.
We will process your request within 2 weeks. You can email your request to privacy@ortuscoaching.nl.
Changes
This privacy statement is tailored to the use and features of this website. Any updates and/or changes to the website may result in changes to this privacy statement. We therefore recommend that you review our privacy statement regularly.
